Chapter Hub is a members app and website for student organizations, clubs and other membership groups (each one a “chapter”). It is provided by HIL LLC, a Texas limited liability company based in Laredo, Texas (“HIL LLC”, “we”, “us”). This policy covers the Chapter Hub website at getchapterhub.com, the web app at getchapterhub.com/app (also reachable at chapter-hub-omega.vercel.app/app), and the Chapter Hub iPhone and Android apps (together, the “Service”).
Each chapter’s officers run their own chapter in Chapter Hub: they decide who joins, which features are on, and they can see the member information described below. HIL LLC operates the Service and stores the data for them.
1. Information we collect
Information you give us:
- Account: your name, email address and password (the password is stored only as a secure hash by our sign-in provider; we can’t read it), and your user ID.
- Profile (optional): phone number, profile photo, bio, GPA (shown only to you and your chapter’s officers), your Big/Little, and when you’re free to hang out.
- Membership details: your role, position, member status, class/line and join date, set by you or your officers.
- Membership application (if you apply to join): major, GPA or transcript summary, age, whether you have transportation, and the note you write about yourself.
- Chat: messages you send in channels, group chats and direct messages, reactions, read receipts (you can turn these off), saved messages, the people you block, and reports you file.
- Photos and other member content: event photos, profile photos, event comments, posts, documents, meeting agenda items and minutes, poll and election participation (secret ballots are stored as totals only, never linked to you), and anything else you enter. The anonymous suggestion box does not store who wrote a suggestion.
- Participation: RSVPs, event check-ins, service hours, study sessions, points, ride offers and requests, and academic records your chapter tracks.
- Precise location (optional, only when you choose): when you tap “I’m home safe” and tick “Share my location with officers”, we save that one location so your chapter’s officers can see you got home. We never collect location in the background or without that tap, and saved locations are deleted after 24 hours.
- Dues and payment history: dues, initiation and contributions are paid on the web through Stripe checkout. Stripe processes your card or bank details; we never see or store your full card number. We keep the payment status, amount, date and the Stripe customer and subscription IDs so your chapter’s books are correct.
Information collected automatically:
- App and device information: if you allow notifications in the phone app, we save its push token together with the platform (iOS or Android), the device model name and the app version, so we can send you chapter notifications.
- Technical logs: like any website, our hosting and database providers record IP addresses, browser type and request times for security and troubleshooting. Fonts and one code library are loaded from Google Fonts and jsDelivr, which also see your IP address when they deliver them.
Entered by officers about people who aren’t users yet: a chapter’s recruitment team can record a prospective member’s name and contact details (email, phone, Instagram, school year, major) and notes. Only that chapter’s officers and recruitment team can see them. Anyone can ask us to delete such a record (see section 7).
We do not use advertising, ad trackers or third-party analytics, and we do not track you across other companies’ apps or websites.
2. How we use it
- To run the Service: sign you in, show your chapter’s events, members, chat and records, and keep dues and hours accurate.
- To send notifications you can control (event reminders, minutes posted, dues reminders, messages from officers).
- To keep the community safe: review reports, enforce our Terms of Use, and prevent abuse and fraud.
- To fix problems and keep the Service secure.
We never sell or rent your personal information, and we don’t use it for advertising.
3. Who can see it
- Your chapter: members see the directory and shared content. Private details (such as dues status, GPA, service hours and application answers) are visible only to you and your chapter’s officers. Officers cannot read your direct messages or group chats; if someone reports a message, officers see a copy of that message.
- Service providers that process data for us under contract: Supabase (database, sign-in and file storage), Vercel (website and server hosting), Stripe (payments), and Expo with Apple and Google push services (delivering notifications).
- Legal reasons: if required by law, or to protect someone’s safety, our users or the Service.
- Business transfer: if HIL LLC is involved in a merger or sale, this policy keeps applying to your information.
4. How long we keep it
- Account and member content: while your account is active, or until you or your chapter delete it.
- Disappearing chat messages: hidden as soon as they expire (after 24 hours, or once everyone has seen them) and then deleted from the server, unless someone saved them.
- Shared “home safe” locations: deleted after 24 hours.
- Payment records: kept as long as the chapter needs them for its books and as the law requires.
5. Deleting your account
In the app: open Me → Settings → Delete my account and type DELETE to confirm. This immediately deletes your sign-in and your personal details: your profile, photos you uploaded, comments, chat messages, chat settings and blocks, push tokens and other personal records. Dues and attendance records your chapter needs for its books are kept without your name (shown as “Former member”).
By email: you can also write to contact@alltimestories.tv from the email address on your account, and we’ll delete it within 30 days.
6. Security
Data is sent over encrypted connections (HTTPS). Database access rules make sure each person only sees what their role allows, and server keys are never shipped in the app. No system is perfectly secure, so please use a strong password and tell us right away if you think your account was misused.
7. Your choices and rights
- See and edit your profile any time in the app (Me → Edit profile).
- Turn notifications, read receipts and location sharing on or off.
- Ask for a copy of your data, a correction, or deletion by emailing contact@alltimestories.tv. Depending on where you live (for example California, Texas or the EU), you may have additional rights, and we honor these requests for every user.
8. Children
Chapter Hub is not for children under 13, and you must be at least 13 to create an account. If we learn that a child under 13 has given us personal information, we delete it. If you are under 18, please use Chapter Hub with a parent’s or guardian’s permission.
9. Changes
If we change this policy, we’ll update the date at the top, and for important changes we’ll tell you in the app before they take effect.
